Day-of coordination for Newcastle NSW weddings, so you can be present while every detail is handled.
Wedding day coordination in the Newcastle NSW
I'm Sara, a Sydney-based wedding day coordinator, and I travel to Newcastle and Lake Macquarie to run your wedding day, from Merewether and Nobbys beaches to the city's heritage venues. Packages are $1,800 for 6 hours, $2,000 for 8 hours and $2,200 for 10 hours, each with three planning meetings and a full run sheet, plus a travel fee quoted upfront.
Newcastle has beaches, harbour views and grand heritage buildings within a few minutes of each other, which is why so many couples split the day: a ceremony on the sand, photos at the baths or the fort, then a reception in town.
That's a lot of moving parts, and council rules for beach ceremonies are specific. I take the run sheet, suppliers, timings and permits off your hands so the day flows.
What I plan for on a Newcastle wedding day
Every region has its own quirks. These are the Newcastle-specific details I build into your run sheet.
City of Newcastle beach and park ceremonies
Ceremonies on Newcastle's beaches (Bar Beach, Dixon Park, Merewether, Newcastle, Nobbys and Stockton) and in its parks need a council licence. Receptions aren't approved in parks or on beaches, there's no vehicle access, and pegging or anything that goes into the ground isn't allowed. Apply well ahead and don't send invitations until the licence is approved.
Ceremony on the sand, reception in town
Because council land is ceremony-only, most beach weddings move to a separate venue. I coordinate guest transport, photographer timings and the handover to the reception team so the gap between the two feels planned, not stalled.
Venue access windows
Some venues have fixed access times. Fort Scratchley, for example, gives exclusive access from 4pm and only hosts ceremonies with a reception booked. I build supplier bump-in and setup around those windows.
Lake Macquarie parks
Lake Macquarie City Council parks such as Speers Point, Warners Bay foreshore and Caves Beach lookout can be booked for ceremonies, and a booking is essential for groups over 100. Structures need a site plan and suppliers need public liability insurance.
Coastal weather
Like the rest of the NSW coast, Newcastle gets southerly changes in spring and summer, often late in the afternoon. We agree a covered or indoor backup in advance and make the call early on the day.

City of Newcastle ceremony fees (2026/27)
For the 2026/27 financial year, a private ceremony licence has a $162.80 non-refundable application fee plus usage fees of $20 an hour for local parks, $29 an hour for district parks and beaches, and $43 an hour for regional parks, with a late fee for applications less than three days out. Allow at least four weeks for approval. Amplified sound, alcohol and structures (chairs, arbours, marquees) must be declared on the application, and outside suppliers providing structures or catering need $20 million public liability cover. If council cancels for weather, the application fee is kept and the rest is refunded.
Council rules and fees change, so I confirm the current conditions for your date and location before you book.

Seasons, sunset and timing
Spring and autumn are the busiest wedding seasons in Australia, and Newcastle is no exception. Sunset ranges from about 4:54pm in June to about 8:06pm in early January, a few minutes earlier than Sydney in summer. Port Stephens weddings are about another 30 to 45 minutes north; ask me about those too.
Book 3–6 months ahead for day-of coordination; popular dates go earlier.
"Thank you so much for everything, Sara! The wedding ran so smoothly thanks to you. My wedding day was so seamless, and I was so relaxed the entire time."
