Couple on their wedding day, coordinated by Hello Love

    Central Coast Wedding Day Coordinator

Day-of coordination for Central Coast NSW weddings, so you can be present while every detail is handled.

Wedding day coordination on the Central Coast NSW

I'm Sara, a Sydney-based wedding day coordinator, and I coordinate weddings across the Central Coast NSW, from Killcare and Terrigal beaches to the estates of Ourimbah and Wyong Creek. Packages are $1,800 for 6 hours, $2,000 for 8 hours and $2,200 for 10 hours, each with three planning meetings and a full run sheet, plus a travel fee quoted upfront.

The Central Coast is close enough to Sydney that many couples plan it like a city wedding, then find the beach permit rules, the weather and Friday traffic on the M1 add a layer of logistics they didn't expect.

Whether you're getting married on the sand, at a bushland barn or a heritage homestead, I take the timeline, suppliers and contingency plans off your hands so you can enjoy the day you planned.

What I plan for on a Central Coast wedding day

Every region has its own quirks. These are the Central Coast-specific details I build into your run sheet.

Beach and reserve ceremonies on council land

Central Coast Council takes bookings for ceremonies on its beaches and reserves, with clear rules on what you can bring (chairs, arches, marquees) and how it's secured. Pegs aren't allowed, so everything is weighted with sandbags. I check your plan against the current conditions and make sure setup and pack-down fit inside your booking.

    Storms, humidity and coastal wind

Summer on the Coast is humid, with afternoon storms common. For outdoor ceremonies I confirm a wet-weather backup with your venue in advance, keep an eye on the forecast all week and make the call with you early on the day.

    M1 traffic from Sydney

Northbound traffic on the M1 regularly slows on Friday evenings, weekends and long weekends. I build buffers into supplier arrival times and guest information, and keep everyone updated on the day if there's a hold-up.

Ceremony and reception in different places

Council beaches and reserves are ceremony-only, so many Coast weddings move from the sand to a separate reception venue. I coordinate the transition: guest transport, the photographer's timing and the handover to the reception team.

Central Coast Council beach ceremony rules

At the time of writing (2026/27 guide), a council wedding ceremony booking is $183 for three hours, including setup and pack-down, and needs a site map. You can bring up to 24 chairs, a signing table, an arch up to 2m wide and 2.5m high and two 3x3m marquees, all weighted with sandbags. Confetti and fake petals aren't allowed (real petals are fine if you clear them), ceremonies can't be held on rock shelves, receptions aren't allowed on beaches or reserves, and bookings can't be cancelled within 14 days. Kincumba Mountain closes on total fire ban days.

Council rules and fees change, so I confirm the current conditions for your date and location before you book.

    Popular Central Coast wedding venues

I'm an independent coordinator, so I work with any venue, including ones not listed here, and alongside your venue's own team.

    Seasons, sunset and timing

Spring and autumn are the most comfortable times for Coast weddings; summer brings humidity and afternoon storms. Sunset in Gosford ranges from about 4:54pm in June to about 8:06pm in December and January, so winter beach ceremonies need an early start for daylight photos.

Book 3–6 months ahead for day-of coordination; popular dates go earlier.

"Thank you so much for everything, Sara! The wedding ran so smoothly thanks to you. My wedding day was so seamless, and I was so relaxed the entire time."

    Central Coast wedding coordination FAQs

Yes. Ceremonies on Central Coast Council beaches and reserves need a booking through council. At the time of writing it's $183 for three hours including setup and pack-down. I'll help you check your setup (chairs, arch, marquee) against the conditions before you book.

Not paper or fake confetti. Council rules allow real petals as long as they're cleared afterwards. Bubbles or a petal toss are good alternatives, and I'll make sure it's all cleaned up.

We lock in a covered or indoor alternative with your reception venue or a nearby space before the day. I watch the forecast all week and make the call with you early, so guests are redirected calmly.

Work back from sunset, which ranges from about 4:54pm in June to about 8:06pm in midsummer. Your photographer and I will set a ceremony time that leaves enough light for family photos and couple portraits.

Usually, yes. A venue coordinator looks after the venue: the room, their staff, food and drinks. I look after you: the full-day run sheet, every outside supplier (photographer, florist, celebrant, band, hair and makeup, transport), your bridal party and family, and the moments that happen away from the venue. I work alongside the venue team, never against them.

Yes, a travel fee applies outside the Sydney metro area. It's based on distance and timing (for example, whether an early start means I need to stay nearby the night before), and it's confirmed in your quote before you book, so there are no surprises.
