Day-of coordination for Blue Mountains NSW weddings, so you can be present while every detail is handled.

Wedding day coordination in the Blue Mountains NSW

I'm Sara, a Sydney-based wedding day coordinator, and I coordinate weddings across the Blue Mountains NSW, from Leura's gardens to clifftop hotels in Katoomba and Medlow Bath. Packages are $1,800 for 6 hours, $2,000 for 8 hours and $2,200 for 10 hours, each with three planning meetings and a full run sheet, plus a travel fee quoted upfront.

The Mountains give you views no Sydney venue can, along with weather that can change in an hour. Fog can roll into a clear valley, and winter evenings are properly cold. A good day here comes down to having a plan B everyone already knows.

I build that plan with you and your venue, then run the day itself: suppliers, timings, your bridal party, and the quiet calls (move the ceremony, shift the photos) that keep the day on track.

What I plan for on a Blue Mountains wedding day

Every region has its own quirks. These are the Blue Mountains-specific details I build into your run sheet.

    Fog, mist and fast-changing weather

Katoomba has many misty days, and clear mornings can turn to thick fog. I agree an indoor or covered ceremony option with your venue in advance, plan photo locations with your photographer around the conditions and make the call with you early.

    Cold temperatures

The Blue Mountains are roughly 7°C cooler than Sydney. July in Katoomba averages a 10.6°C maximum and 2.9°C minimum, and the Upper Mountains usually see a couple of snowfalls a year. I plan for heaters, blankets, warm-up breaks and a timeline that doesn't leave guests standing outside for long.

    Lookout ceremonies and public spaces

Some of the most famous spots are busy public places. Echo Point gets well over a million visitors a year, drones are banned there and commercial photography needs National Parks consent. Council-managed lookouts and National Parks lookouts are booked through different authorities. I help you pick a spot that suits your guest numbers and check what's allowed.

Road access west of Mount Victoria

The Great Western Highway at Victoria Pass has been closed since March 2026, with reopening expected in 2027. It doesn't affect the drive from Sydney to Katoomba or Leura, but venues and suppliers beyond Mount Victoria use a detour, so I build that into arrival times.

    Accommodation that books out

Mountain accommodation books out quickly on wedding weekends. I'm not your travel agent, but I'll make sure guest information, shuttle times and supplier arrival windows all line up with where people are staying.

    Lookout and reserve ceremonies

Blue Mountains City Council manages its own reserves and lookouts, while National Parks (NPWS) manages lookouts inside the national park, such as Govetts Leap and Evans Lookout. They're booked separately and have their own conditions, which commonly restrict amplified sound, marquees, confetti and receptions. I'll confirm the current rules for your chosen spot before you lock it in.

Council rules and fees change, so I confirm the current conditions for your date and location before you book.

    Popular Blue Mountains wedding venues

I'm an independent coordinator, so I work with any venue, including ones not listed here, and alongside your venue's own team.

    Seasons, sunset and timing

Autumn and spring are the most popular seasons in the Mountains, and Saturdays at popular venues book well ahead. February and March are the wettest months. Sunset in Katoomba ranges from about 4:58pm in June to about 8:14pm in midsummer.

Book 3–6 months ahead for day-of coordination; popular dates go earlier.

    Blue Mountains wedding coordination FAQs

Usually, yes. Council-managed lookouts are booked through Blue Mountains City Council, and lookouts inside the national park are booked through NPWS. Each has its own conditions. I'll help you find the right authority and check what's allowed for your guest numbers.

We plan for it from the start. Your venue's indoor or covered option is confirmed before the day, your photographer and I agree backup photo spots, and I make the call with you early so nobody is scrambling.

Cold. July averages a maximum of about 10.6°C and a minimum near 3°C, and snow is possible in the Upper Mountains. Winter weddings can be beautiful; we just plan heaters, blankets, shorter outdoor moments and an earlier ceremony for daylight.

It's one of the busiest lookouts in Australia, so it won't be private, drones are banned and commercial photography needs NPWS consent. Many couples choose a quieter lookout or a venue with a similar view. I'll talk you through the options.

Usually, yes. A venue coordinator looks after the venue: the room, their staff, food and drinks. I look after you: the full-day run sheet, every outside supplier (photographer, florist, celebrant, band, hair and makeup, transport), your bridal party and family, and the moments that happen away from the venue. I work alongside the venue team, never against them.

Yes, a travel fee applies outside the Sydney metro area. It's based on distance and timing (for example, whether an early start means I need to stay nearby the night before), and it's confirmed in your quote before you book, so there are no surprises.
