Day-of coordination for Hunter Valley weddings, so you can be present while every detail is handled.

Wedding day coordination in the Hunter Valley

I'm Sara, a Sydney-based wedding day coordinator, and I travel to the Hunter Valley to run your wedding day from the first vendor arrival to the last song. Packages are $1,800 for 6 hours, $2,000 for 8 hours and $2,200 for 10 hours, each with three planning meetings and a full run sheet, plus a travel fee quoted upfront.

A Hunter Valley wedding is usually a whole weekend: guests drive up from Sydney and Newcastle, stay in cottages and resorts spread across Pokolbin and Lovedale, and rely on shuttles to get between them and your venue. The day has more moving parts than a city wedding, and fewer people nearby to fix things if something slips.

Most vineyards have a venue coordinator who looks after their own space and staff. I look after everything else: your run sheet, your outside suppliers, your bridal party and the timing that ties it all together, so you're not the one on the phone to the shuttle company at 4pm.

What I plan for on a Hunter Valley wedding day

Every region has its own quirks. These are the Hunter Valley-specific details I build into your run sheet.

Guest transport between accommodation and venue

Rideshare is patchy in wine country, so shuttles and transfers need to be booked and timed, not left to chance. I build pick-up and return runs into the run sheet, confirm them with your transport company in the week of the wedding, and make sure the last shuttle doesn't leave before the party ends.

    Summer heat and storms

Summer days in Cessnock average around 30°C, and hotter days are common, with afternoon thunderstorms. For vineyard ceremonies I plan for shade, water for guests, a ceremony time that avoids the worst of the heat, and a confirmed wet-weather location with the venue before the day.

    Cold, foggy winter mornings

Winter nights in the Hunter regularly drop to 2–4°C and mornings can be foggy. That affects getting-ready timings, photo locations and how long guests can comfortably stand outside, so I plan the timeline around it.

    Venue curfews and pack-down

Music and finish times differ by venue (some bring music down at 11pm and close at midnight). I build the run sheet backwards from your venue's rules so speeches, dances and the farewell all fit, and I coordinate supplier pack-down so nothing is left behind on a venue that needs clearing.

Suppliers travelling from Sydney and Newcastle

Your photographer, florist, stylist or band may be driving two hours or more. I confirm arrival windows, access and parking with each supplier in advance and keep a buffer in the timeline for M1 traffic.

    Ceremony locations

Almost every Hunter Valley ceremony happens at the venue itself, so council permits rarely come into it. Most Pokolbin and Lovedale venues are in the Cessnock City Council area. If you're planning a ceremony on public land, I'll check what's needed with the relevant council well before the day.

Council rules and fees change, so I confirm the current conditions for your date and location before you book.

    Popular Hunter Valley wedding venues

I'm an independent coordinator, so I work with any venue, including ones not listed here, and alongside your venue's own team.

    Seasons, sunset and timing

October is traditionally the Hunter's busiest wedding month, with March close behind; grape harvest runs from late January to March, so cellar doors and roads are busier then. Sunset ranges from about 4:56pm in mid-June to about 8:08pm in early January, which shapes ceremony times for golden-hour photos among the vines.

Book 3–6 months ahead for day-of coordination; popular dates go earlier.

"Thank you so much for everything, Sara! The wedding ran so smoothly thanks to you. My wedding day was so seamless, and I was so relaxed the entire time."

    Hunter Valley wedding coordination FAQs

Usually, yes. A venue coordinator looks after the venue: the room, their staff, food and drinks. I look after you: the full-day run sheet, every outside supplier (photographer, florist, celebrant, band, hair and makeup, transport), your bridal party and family, and the moments that happen away from the venue. I work alongside the venue team, never against them.

Pre-booked shuttles or transfers are the reliable option, because rideshare availability in the Hunter is limited, especially late at night. I add every pick-up and return run to the run sheet, confirm them with your transport company and keep track of them on the day.

We agree a heat and wet-weather plan with your venue before the day: shade and water for guests, a sensible ceremony time, and a confirmed indoor or covered alternative. On the day I make the call with you early, so the switch is calm rather than rushed.

It depends on the venue: many bring music down around 11pm and finish by midnight. I build your timeline backwards from your venue's rules so the important moments aren't squeezed at the end of the night.

Most Hunter weddings suit the 8 or 10 hour package, because setup, a vineyard ceremony, photos and a full reception make for a long day. If you have a small, short celebration, 6 hours can work. We'll choose based on your actual timeline.

Yes, a travel fee applies outside the Sydney metro area. It's based on distance and timing (for example, whether an early start means I need to stay nearby the night before), and it's confirmed in your quote before you book, so there are no surprises.
